Position Summary: The Administrative Assistant, HR will be responsible for providing support to the Human Resources Department and Reception Desk. Responsibilities is a primary backup to main receptionist, which include answering phones, greeting visitors, and overall support to the HR Department. This is a fast-paced, high volume position that requires a friendly, professional that thrives in changing priorities. Primary Duties and Responsibilities: Assist and provide support to the main receptionistRelieve main receptionist for breaks and lunch and cover reception when taking days offAnswers phones and transfers calls on a multi-line telephone systemSupport in sorting and distributing incoming mail and deliveriesProvides information or directs caller/visitor to appropriate individualGreets and receives customers and visitors in a friendly and professional mannerProvides support to teams within the HR DepartmentAssists with Will Call for employee ordersProvides clerical/administrative support to the HR Department and other departments as needed; duties to include but not limited to photocopying, faxing, mailing, and filingInteracts with staff to define, prioritize and assist with the execution of multiple tasks and activities required to meet deadlinesThis is a support role that may be asked to perform other tasks, projects and duties as assignedAssists with the organization and coordination of department and corporate eventsPerforms special projects and other duties as assigned Requirements for Position: Excellent organizational skills, attention to detail, and outstanding customer service is requiredAbility to demonstrate complete confidentiality and discretionExcellent verbal and written communication skillsAbility to handle multiple tasks in a fast-paced environmentProven reliability (i.e. reports to work on time, few unplanned absences, etc.)Demonstrates flexibility and can quickly adapt to changes in the work environmentResponsive to team needs with professionalism, respect and consideration of others Qualifications: High School Diploma required; Associate of Arts (AA) Degree preferred, but not requiredWorking knowledge Microsoft Outlook, Word and ExcelMinimum 1 year general administrative experience, and or reception experienceMinimum 1 year in a customer service role Physical Demands:While performing the duties of this job, the employee is regularly required to sit; reach with hands and arms and talk or hear. The employee is frequently required to use hands to finger, handle or feel; frequently lift and/or move up to 20 pounds, and occasionally lift and/or move up to 40 pounds. The employee is regularly required to stand and walk. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
