Part-time Program Coordinator (#20-037N)

Bastyr University

This is a Contract position in Kenmore, WA posted November 17, 2020.

Bastyr University is seeking a part-time (30 hours/week) Program Coordinator for the Department of Acupuncture and East Asian Medicine (AEAM). This position is required to work at the Bastyr Center for Natural Health (BCNH) in Seattle, but at this point all Bastyr employees that CAN work from home are being urged to do so.  This position is able to work from home during the ongoing pandemic or until requirements change.

Duties:
• Design and manage systems and procedures needed to organize and accomplish administrative responsibilities that support the AEAM clinic office and Chair of the department
• Coordinate and schedule Doctor of Acupuncture Medicine (DAOM) courses, faculty teaching schedules, & department meetings for the DAOM program (*this position necessitates being at the doctoral program once a month on a Saturday/Sunday)
• Coordinate travel and accommodation arrangements for DAOM Faculty
• Create adjunct faculty contracts and payroll coordination for DAOM faculty & Guest Lecturers
• Create and assist in managing projects originating from the AEAM clinic including: AEAM make-up shift policy & student registration for such, management of student credentialing and tracking for off-site shifts, & management of preceptor-related projects
• Act as a department liaison between AEAM department chair, AEAM program supervisor, clinic faculty (core and adjunct), and student clinicians.
• Assist department chair in tracking budget, budget administration, and financial procedures, coordinating receipts and reimbursements, invoices, non-cash transfers, & credit card statements for the AEAM clinic/DAOM program

Qualifications:
• Demonstrate strong computer skills, ability to produce forms in Microsoft Word, Excel, and web-based; be comfortable learning other computer programs
• Strong customer service skills: ability to be sensitive to and collaborative with a variety of people
• Must be organized and have strong attention to detail
• Ability to work independently with minimal supervision; must be self-directed
• Must be a proactive problem solver
• Excellent verbal and written communication skills
• Excellent prioritization/re-prioritization skills
• Must know or be willing to learn the Family Educational Rights and Privacy Act (FERPA) and clinic policies and regulations (works with highly confidential materials)
• Flexible, calm and professional demeanor, can-do work ethic
• Good sense of humor is a plus
• Ability to multi-task and to interact respectfully with faculty, staff, and students at all times

Experience:
Minimum of 3-5 years in a responsible administrative or programmatic position.

Education:
High school diploma or GED required. Associate’s or Bachelor’s degree preferred.

Compensation:
$21.26 – $21.60 per hour with comprehensive benefits package, including Health, Dental & Vision, 403b plans, Section 125 plans and generous paid time-off.

Work Schedule:
This position is 30 hours per week, days and times to be worked out in conversation with the Program Supervisor.  At this point, this position is almost 100% remote – the position MAY need to go to the clinic to check on a room set up at some point.  This position is usually required to be at the clinic 1 weekend/month for the Doctoral program classes.  The next in-person weekend is currently being discussed.  The week following that weekend will have less hours to balance out the 12-16 hours of weekend work. This position requires a background screening.
