Job DescriptionJob Title: Secretary I Division: 2 Contract: Proposal NUWCDIVKPT Business Ops Work Location: Keyport, WashingtonSecurity Clearance: Secret (interim acceptable)Job Summary: The Secretary I will support General Administrative and Program Financial Management Support and is responsible for supporting the day-to-day activities of the supervisor, visitors and staff. General Administrative support involves telephone monitoring, visitor control, reporting and other general administrative tasks with understanding of the organization, programs, and procedures related to the work of the office. The Secretary I support includes financial tracking, timekeeping and document control point tasks, maintenance of office supplies inventory and reporting requirements detailed in existing standard operating and contractor desk procedures to include a variety of tasks: Job Duties: Respond to general telephone calls, forward and deliver written phone messages with the appropriate urgency.Maintain office files, recurring internal reports, auditable documentation, manuals and procedures, time and leave records, classified mail log, office equipment listings, correspondence controls, office files, supplies requisitions, training plans, printing and other services. Type, transcribe, take dictation, format, create and review materials for typographical accuracy, editing and correction; assure authorized approver has signed the message for release and process through the Government Defense Messaging System.Follow specific instructions provided by supervisor on new assignments and check completed work for accuracy.Perform visitor control by monitoring visit requests, validate security clearances, notify host of arrival and escort visitor to designated area as needed, notify the Government point of contact of impending visitor, issue and collect badges, provide location maps and directions, and maintain visitor log.Prepare Visitor Base Access requests utilizing existing procedures, obtain authorization signature from Government sponsor, and forward to Base Pass and Identification Office.Prepare and post signage and visit requests for Government personnel traveling to external Government commands or Contractor facilities. Process requests using Government system and maintain a file of all outgoing visit clearances.Perform follow-up on mail receipt confirmation and send tracer notices to intended mail recipients to confirm receipt of classified items, distribution, filing, reproduction, scanning or archiving documents to complete distribution.Assist Government travelers using Defense Travel System (DTS) for authorizations and vouchers. Prepare travel order amendments, retrieve orders, and interface with travel offices for changes in orders. Notify the Government traveler when documents are ready for review and signature.Mandatory Skill Requirements:Ability to work independently with applied understanding of administrative support duties.Ability to read, interpret, and implement instructions and requirements accurately.Good oral and written communication skills.Familiarity with Microsoft Office Suite.Attention to detail and ability to work in fast-paced environment.Desired Skill Requirements:Prior experience in a DoD environment using secretarial or clerical discipline practices and procedures.Total of Five (5) years in business, Government or military experience in administrative/office operations.Two (2) years total experience in naval messaging, correspondence, Joint Personnel Adjudication System (JPAS), and documentation.Familiarity of Defense Travel System (DTS)Education/Equivalent:Associate’s Degree desired in a field related to business operationsJob Posted by ApplicantPro
