The PATIENT FINANCIAL SERVICES department has an outstanding opportunity for a PATIENT ACCOUNT REPRESENTATIVE SUPERVISOR, (100% FTE / full-time, 40 hours per week).

The purpose of this position is to supervise Insurance Billing and Follow-up for UW Medicine in the Patient Financial Services (PFS) Department.

UW Medicine PFS is a shared services department.

UW Medicine includes UW Medical Center (UWMC) one of the nation’s premier educational and research institutions and Harborview Medical Center (HMC), the only Level I trauma center in the entire WWAMI/five-state region.

In a department of 130+ employees, this position will have the responsibility of supervising a team as well as reviewing and approving patient accounting transactions; coordinating and monitoring unit daily workflow, and establishing departmental procedures to assist with daily workflow.

The position will also require collaboration with PFS customers, including but not limited to Patient Accounts & Support Services (PASS), Patient Access, Coding, Utilization Management, Contracting and many other UW Medicine Organizational Partners.

This individual will supervise a team of 10+ employees and requires knowledge on the following: prepare UB, HCFA, ADA and other utilized billing forms via paper or electronic means; prepare Accounts Receivable (A/R) transactions and reports ; access computer databases to obtain eligibility information; update patient demographic and financial information; communicate with Medical Centers’ staff, patients and/or third party payers as required to obtain or verify billing information or payment, and answer questions/ resolve concerns; document specific actions taken on individual accounts in the EPIC HB system.

This position is responsible for considering the status of the entire patient account and for exercising judgment to determine appropriate course of action for resolution of the patient account in its entirety.

POSITION COMPLEXITIES: The position requires knowledge of Patient Financial Services and patient accounting policies, procedures and practices, as well as state and federal regulations related to billing and self-pay collections.

The position must understand and apply Patients Are First concepts, and be able to relay those concepts to staff.

The position must be able to provide coaching to all levels of staff that report to them.

DISTINGUISHING CHARACTERISTICS: Under general direction and with delegated authority, interview and recommend selection of applicants, conduct training, assign and schedule work, act upon leave requests, conduct annual performance evaluations, and recommend disciplinary actions.

RESPONSIBILITIES: The PATIENT ACCOUNT REPRESENTATIVE SUPERVISOR will: + Supervision of 10+ staff in insurance billing and follow up + Review and approve patient accounting transactions; coordinate and monitor unit daily workflow, establish departmental procedures to assist with daily workflow + Identify trends and put preventative measures in place to prevent loss in revenue + Monitor and deliver staff productivity, provide performance feedback and annual performance evaluations conduct corrective action as needed + Assist staff to analyze difficult delinquent accounts and financial information to determine appropriate follow-up action + Assist staff in developing plans for resolving backlogs; provide continued training and education to staff as needed + Provide desk coverage when necessary + Review, correct and approve timekeeping/payroll reports; prepare administrative reports + Compose and prepare correspondence and spreadsheets utilizing Microsoft Word and Excel programs + Act as liaison between departments and outside agencies + Review and interpret rules and regulations that affect patient accounting and ensure work unit is in compliance POSITION COMPETENCIES: + Ability to communicate effectively with all staff and public.

+ Demonstrates knowledge and understanding of patient privacy rights.

Maintains confidentiality of all medical, financial or other sensitive materials and information in printed, electronic or verbal form, which may jeopardize the privacy of patients.

Accesses and uses the minimum necessary patient identifiable information to perform job responsibilities and duties and only for authorized purposes.

+ Demonstrates knowledge and understanding of and maintains confidentiality of employee information and medical center strategic plans and initiatives, financial information or other sensitive materials and information in printed, electronic or verbal form which may jeopardize employee rights or organization’s operations.

REQUIREMENTS: High School graduation or equivalent and two years of college-level courses AND three years of experience in patient accounting, customer service, or a related office environment.

OR Equivalent education/experience.

DESIRED: + Demonstrated leadership skills or background, knowledge of PFS Revenue Cycle, Registration systems and IT Services programs that dictate pricing, billing and reporting + Knowledge of patients Accounts Receivable + Strong knowledge of UB-04 and HCFA 1500 data elements and payer requirements + Knowledge of Epic systems + Knowledge of Word and Excel + Knowledge of UW Medicine payroll and personnel policies and procedures + Ability to train others to retrieve active and purged data, remittance advices, other PFS in-put, and update Epic systems + Analyze patient accounts to determine appropriate action UW Medicine includes Harborview Medical Center, UW Medical Center
